Disclosure and Cancellation Policy*

All organizations and individuals applying for the use of any University facility are responsible for knowing and abiding by the rules and policies governing that area. Applications must be received at least four weeks prior to the event. No organization will be permitted use of University facilities on any basis until the application is approved and proof of insurance is verified. Other restrictions may apply.

All reservations require a 25% non-refundable deposit. The balance is due the day of the event. Payment details for all events will be arranged with the Facilities Coordinator

CANCELLATION POLICY: All payments are nonrefundable.

Food Services Disclosure Statement*

All food service on campus must be provided by vendors approved by UCF Business Services office. No food or beverages, including alcoholic beverages, are allowed inside the gymnasium. Concession requirements should be directed to the University Business Services office.

Potentially Hazardous Events and Assumption of Risk*

POTENTIALLY HAZARDOUS EVENTS: All events with over 50 attendees are considered to be potentially hazardous and must be vetted and pre-approved through the UCF Safety Action for Event (SAFE) Form. The SAFE Form must be submitted at least 15 days prior to the event date.

ASSUMPTION OF RISK: It is the responsibility of the reservation contact to ensure that any invitee, guest, employee or independent contractor receives notice of and complies with UCF’s guidelines. Failure to do so may result in immediate removal from the property, without refund.

Reservation contact voluntarily assumes all associated risks and liabilities related to exposure of COVID-19. Furthermore, requesting party agrees to indemnify, defend and hold harmless, UCF and the College of Community Innovation and Education, its parents, subsidiaries, officers, employees, agents, joint venture partners, affiliated entities and representatives, from and against any and all claims, demands, actions, damages, losses, costs, penalties, liabilities, expenses or deficiencies asserted against UCF related to or arising from exposure or transmission of COVID-19.
